Summer Guest Services

Guest Services Staff

A team of professional, knowledgeable students serve as the Summer Guest Services (SGS) staff. They are able to meet any needs that arise for your group and will go out of their way to make your stay as comfortable and productive as possible. The SGS office is your number one source of information and help during your stay.

The Summer Guest Services staff will:

  • Greet guests as they arrive
  • Issue room keys
  • Sell parking permits
  • Receive and post phone messages
  • Check-out alarm clocks, desk lamps, and irons
  • Provide information about Evergreen and Olympia
  • Help with any Housing problems that may arise
  • Be available from early morning to late night for anything else guests may need

The SGS office, centrally located in the "A" building of the residence halls, is open every day from 6:30a to 11:00p. You can reach the office at (360) 867-6199.

Check-In and Registration

Housing check-in is coordinated through the Summer Guest Services office. Our standard check-in time begins at 4:00pm though this time is variable depending upon the needs of your conference. (If your arrival coincides with the departure of other conference groups, your check-in time may be scheduled later in the evening to allow for room turnovers.)

When checking in, each person who stays in College housing will be required to complete a blue registration card. This card will include the conferees name, home address, emergency contacts, and their housing room assignment.

Tables for registration, carts for carrying baggage to and from the F parking lot, and area maps and bus schedules are available at the SGS office.

Check-Out

Checking out of housing is a painless procedure. It's as easy as returning your room keys to the Summer Guest Service office. Our staff will be available to answer any final questions, call a cab, or help-out with heavy luggage. Check-out must be completed by 11:00am on the morning of departure.

Early Arrivals & Extended Stays

Participants who want to arrive before your program begins or extend their stay after your conference has ended may be accommodated on a space available basis. We require advance notice of at least eight weeks to coordinate early arrival and extended stay requests.

If your participants have not made arrangements for an extended stay and are not checked out of the residence halls by 11:00am, your conference program will incur a financial penalty equal to 50% of one night's total lodging cost for the whole group.

Linen Service

Full bed linen service for groups includes: sheets, pillow, pillowcase, blanket and towels (exchanged daily). Participants make their own beds.

Lamps, irons, and alarm clocks (we can not provide wake-up service) are available for checkout through the SGS office.

Youth Group Supervision

We require adequate adult supervision for all youth groups in our residence halls: one adult for every 15 youth.

Quiet Hours

All resident guests are expected to be considerate of their neighbors at all times. To provide everyone with a comfortable and relaxing environment, we ask all groups to keep noise to a minimum from 10:00pm-7:00am while near the residence halls.

Courtesy Coffee

During the summer months, we provide a courtesy coffee service outside of the Summer Guest Service's Office each morning from 6:30am-8:00am.
