Transcript Document Types, Cost and Processing Times

Unofficial transcripts*—Narrative evaluations from your faculty and your self-evaluations. Unofficial transcripts are available for same day pickup and are requested in person only through the Registration and Records Office during business hours. The cost is $1 per page, $10 maximum.
*After credits post to your record, a complimentary copy of the evaluation your faculty wrote of you is sent to your mailing or permanent address. If you save these, you have an unofficial transcript.

The options below require a my.evergreen.edu account. If you do not currently have a my.evergreen.edu account, you must request a new account. If your name has changed since you last attended Evergreen, we need documentation of your new name before we can issue your new account.

Unofficial Academic Summary—A brief summary of academic history including credit equivalencies. An unofficial academic summary (sample) is ordered online through my.evergreen.edu and is delivered to your my.evergreen.edu secure documents area. The cost is $8. Processing time is one to five business days.

Official transcripts—Your official Evergreen transcript consists of:

  • A transcript guide to help readers who are unfamiliar with our narrative evaluations
  • A credit and course-work summary (entitled Record of Academic Achievement—sample) with the official Evergreen seal and the signature of the Associate Vice President for Enrollment Management

It has been more than one business day since I requested an account and I have not received my new username. What do I do?
First, check your spam or junk folder. If you do not see an email with your username there, please contact the Transcript Office at 360-867-6905.

I have a hold on my account. How do I resolve it so I can order transcripts?
Some holds, such as past-due account and required self-evaluations, will prevent you from ordering transcripts. Call the area that placed the hold (the "originator" listed on my.evergreen.edu) for details on how to resolve your hold.

I need a transcript as soon as possible. What are my options?
We process transcript orders in the order we receive them so place your order online as soon as possible. Digital delivery orders will be sent electronically immediately after processing. In-person pickup orders will be available for pick up during regular business hours immediately after processing. We will contact you at the email or phone number you provide when they are available for pickup.

I have transfer credits. How are these represented in my Evergreen transcript? Transfer credits accepted by Evergreen are listed by institution name and total credits. You may view an example of transfer credit representation on our sample Record of Academic Achievement.

My recipient has specific requirements for transcripts (cover sheet, signature over seal, etc.). How do I make sure my transcripts meet their requirements?
We will work with you to accommodate special circumstances. Please provide detailed information on your special processing requirements by fax or email at the time of your transcript request.

My recipient requires a GPA. What do I do?

  1. Contact your recipient to ask how they handle narrative transcripts.
  2. Send your transcript to the recipient.
  3. If the recipient has questions about how to interpret your transcript, or needs further information, contact the Registration and Records Office for help.

Evergreen will work with institutions and organizations that require letter or number grades. Our philosophy is that readers gain a great deal more information about your work through the narrative evaluation than they do from a GPA. Many institutions and organizations are familiar with our academic records, so the first step is to send a copy of your transcript to your recipient.

I have credit outstanding (not yet awarded). What do I do?
Transcript orders placed when you are in a class more than two weeks from completion will be prepared and sent “as is”. Only your completed credits and evaluations will be included.
If it is at least week ten of the quarter and you have outstanding credits from a finished (or nearly finished) class, you may:

  • Choose to send your transcript “as is,” without waiting for your outstanding credits by selecting the “Send my transcripts now” option when you place your transcript order.
  • Choose to have your order held until the outstanding credits are posted to your record by selecting the "Hold my transcript order" option when you place your transcript order. After your order is placed and paid for, we will notify your faculty's office that your transcript order is awaiting their submission of your evaluation. Outstanding evaluations for finished (or nearly finished) classes can take longer than 1 to 5 business days to come from your faculty to us.

I am in a program for multiple terms. What do I do?
Your evaluation from a multi-term program comes in at the very end of the final term of the program. To order a transcript that includes your credit and evaluation from a multi-term program, you must wait until at least week 10 of the final quarter of the program.

If you need a verification of your standing or enrollment while in a multi-term program, please contact Registration and Records.

I need proof of my degree. Do I need to order a transcript?
Your transcript will show all degrees received. However, if you only need to certify that you completed a degree, consider sending an Academic Summary document. Degree verifications can also be requested through the National Student Clearinghouse. If further documentation is needed, contact Registration and Records.

I did undergraduate work at Evergreen and am applying to one of Evergreen’s graduate programs. Do I need to request and pay for a transcript?
Yes.

I did undergraduate and graduate work at Evergreen. Can I request a transcript that only shows my graduate work?
No. Evergreen follows the guidelines of the American Association of Collegiate Registrars and Admissions Officers which states that an official university transcript reflects all of the academic coursework completed at the institution.

My recipient says my transcript was never received. What do I do now?
Login to our my.evergreen.edu account and go to your transcript orders to confirm that your transcript was sent. Also confirm the accuracy of the delivery information you gave us and the date your transcript was mailed or delivered. If there was an error in the delivery information you provided, you must place and pay for a replacement order. If the delivery information is correct and the status of your order is "completed" or "mailed":

Orders delivered by Postal Mail

  1. Contact the recipient and ask them to double-check. Evergreen transcripts do not look like most other transcripts. If mailed, they come in a 9 x 11 envelope and are often thick packets. The envelope is marked Transcript Materials on the front with a seal on the back that indicates that it is a transcript.
  2. If the recipient still indicates that your transcript has not been received, please contact Evergreen’s Transcript Office (360.867.6905). We will confirm the delivery information and check if the transcript has been returned. If it has not been returned and the delivery information is correct but the institution still has’t received it, you must request and pay for another transcript. We will work with you to expedite the second sending of transcripts.

Orders delivered digitally

Check your email for notifications from eSCRIP-SAFE. When your transcript is delivered (transmitted), you receive a confirmation email with the subject line, "Your transcript has been transmitted". Your recipient has 14 days from the date of transmission to open the transcript. After 14 days, the transcript is deleted from the system. Once your recipient opens (receives) your transcript, you receive a confirmation email with the subject line, "Notice of transcript receipt".

  • If it has been less than 14 days since your transcript was transmitted, contact your recipient so they know you have sent them an electronic transcript. Recipients receive daily email notification from eSCRIP-SAFE with instructions on how to access your transcript. If your recipient is not receiving these emails, they may need to whitelist the email domain @escrip-safe.com. The transcript is not delivered via email. It is transmitted as a secure document that must be retrieved by the recipient.
  • If it has been more than 14 days since your transcript was transmitted, you will need to order and pay for another transcript.

Where can I get help with my self-evaluations or Academic Statement (formerly known as summative self-evaluation)? The Writing Center has some great information online about writing self-evaluations and summative self-evaluations. They are also available for one-on-one appointments.
