Do's
If you are reserving a vehicle through a qualified travel agent, do the following:- File an approved Travel Authority form with the Travel office.
- Call your travel agent at least 24 hours in advance for local rental (or seven (7) calendar days in advance for one way rentals).
- Tell the agent that you wish to reserve a vehicle using the corporate rate and program for the State of Washington.
- Contact the Travel office to get The Evergreen State College account number you will need to provide the travel agent when making your reservations.
- Present your Evergreen photo ID at the reservation counter to pick up your vehicle.
- When you return the vehicle, obtain a receipt reflecting all charges.
- Deliver the receipt to the Travel office as soon as possible.

- Do not forget: YOU MUST show your Evergreen photo ID at the reservation counter.
- Do not agree to purchase additional insurance coverage.
- Do not use the vehicle for other than official state business.
- Do not return the vehicle to the rental location before refueling it.
A rental car is to be used only on official state business.
When operating a passenger motor vehicle on official state business, any person exercising control over and/or operating the vehicle is expressly prohibited from engaging in the unauthorized transportation of passengers.
To avoid fuel charges from the rental location, travelers are urged to re-fuel (top off the tank) the rental vehicle prior to their return.
Under no circumstances should the traveler purchase or agree to any additional insurance coverage.
